Most non-profits run their technology the way they run everything else: on goodwill, on volunteers, and on whoever is most comfortable with a computer. That works until the person who set up the email leaves, or a volunteer's account is still active two years after they stopped coming in, or somebody realises the donor list has been in a shared spreadsheet the whole time. None of that is negligence. It is what happens when there is no budget for an IT person and no obvious moment to fix it.
What usually goes wrong
Nobody actually owns the technology
It is the executive director, or a board member with a technical job, or a volunteer who set it up in 2019 and has since moved away. When something breaks there is no one whose job it is to fix it, and the password is in somebody's memory.
Volunteers arrive and leave, accounts do not
Turnover is the defining feature of a volunteer organisation and offboarding is the step everybody skips. Live accounts belonging to people who left are the most common way a small organisation gets breached, and nobody notices because nothing appears to be wrong.
Donor data is more sensitive than people treat it
Names, addresses, giving history, sometimes payment details, sometimes information about the people you serve. A shared spreadsheet on somebody's laptop is a real risk to real people, and losing it costs you the trust that funding depends on.
You are probably paying for software you could have free
Microsoft and Google both give qualifying non-profits free or heavily discounted licences, and a great many organisations pay full price for years without knowing. The application is paperwork, not magic, and it is the first thing we check.
Grants and boards ask questions technology has to answer
Funders increasingly ask how you protect the data you hold. Answering that with a shrug is a bad look in a grant cycle, and answering it well costs less than most people assume.
Everything has to be explainable to a board
A board approves the spend and rarely contains an IT person. A recommendation that cannot be explained in a meeting is a recommendation that does not get funded, however sound it is.

Claim the licences first
Before we quote you anything, we check what Microsoft and Google will give you for nothing. We pass every licence through at cost with no markup, so getting you onto a free tier costs us the margin and we do it anyway — it is the fastest money we can save you.
Offboarding that actually happens
Volunteers, board members and staff on one list, with leaving handled as a step rather than a memory. Access removed the day somebody stops, not the year afterwards.
Get the donor list out of the spreadsheet
Somewhere it is backed up, access-controlled, and survives the laptop it currently lives on. Not a database project — the smallest change that stops one accident being irreversible.
Backups you can prove, not assume
Automatic, tested, and off-site. When a funder or an auditor asks what happens if you lose it all, that is a question with an answer rather than a silence.
Multi-factor on everything that matters
The single cheapest thing any organisation can do, and the one most likely to be missing. Free on the licences you already have, once somebody turns it on properly.

What was protected, what was fixed, and what needs a decision — in language that works in a board meeting without a translator.
The discount, stated plainly
15% off everything for a registered non-profit. Another 5% — 20% in total — if serving veterans is part of what you do. It applies to our work, not to software licences, which we pass through at cost and cannot discount without selling them at a loss. We will ask for your determination letter, because it is the only way to apply the rate honestly. One exclusion: political organisations do not qualify. Campaigns, PACs, party committees and advocacy groups whose main purpose is influencing elections are all real and legitimate work, and none of it is what this discount is for.
